For admins
Run a tournament
Five steps from the first click to the winners being paid.
1. Create it
- Tap Create a tournament. Give it a name, the date players must join by, and the start time.
- Pick the format: knockout, league or groups then knockout. Knockout can be one game, two legs or best of 3. A league can be played once or home and away.
- Free or paid: for a paid tournament set the entry fee and the prize split. The site keeps 10% of what players pay in; the rest goes to the prizes.
- Paid tournaments also ask how long prizes are held after the final (30 minutes up to 24 hours). A longer hold gives players more time to complain.
- You can add your own prize money (even to a free tournament). Choose Pay now, and the tournament opens once the payment is confirmed. Or choose Pay later: it opens at once so you can share the link, and you must pay before registration closes. Until it is paid the draw cannot start, you get reminders 24, 6 and 1 hours before registration closes, and if it is still unpaid then the tournament is cancelled and every entry refunded. Players only see the prize pool; the reminder is for admins.
- Changed your mind? Until anyone has paid you can delete the tournament from its Admin page. After a payment you cancel it instead so every payment is refunded.
- Optional: check-in before the start, and a no-show countdown so a player who does not turn up loses the match automatically.
2. Get players in
- Share the tournament link on WhatsApp. Players tap Join; for a paid tournament they pay with M-Pesa or card.
- A paid player only counts once Bachs confirms the payment. You do not need to check anything by hand.
- Private tournaments need the invite link. You can remove a player in the Players tab; a paid player who is removed is marked for a refund.
3. Start the draw
- When the join time is over and enough players have joined, open the Draw tab and start it. The draw is random and the seed is shown, so anyone can check it was fair.
- After the draw the players and the bracket are fixed, so make sure the list is right first.
- Use the Schedule tab to give each round an opening and closing time. Matches get the closing time as their deadline, and players are reminded.
4. Run the matches
- Players play in the game and report the score with a screenshot. The opponent confirms or disputes it.
- When the opponent confirms, the result is final. If they dispute it, or do not answer, it comes to you in the Results tab: look at the screenshots and approve the right score.
- You can never approve a match you play in. The other player's confirmation finishes it, or a co-admin approves. Add a co-admin in Settings so there is always someone else.
- If a player does not show up, award a walkover. If a no-show countdown is on, the site does it for you when the time runs out and gives the absent player a strike.
- Both players can add screenshots or a note as evidence while a result is unsettled. You can warn a player or give a strike from their name.
- Knockout games cannot end level. Penalties are entered separately.
- Two legs or best of 3: each game is its own match. The players fill in and confirm every game themselves and each confirmed game is final at once, so you are not asked to approve every leg. You only step in for a dispute or a missing result.
- Each pair of players gets a private chat after the draw (and when a winner moves on), so they can agree a time. Use @all in the tournament chat to alert every player at once for something urgent; only admins can use it.
- Double elimination (chosen when you create a knockout): a player is out after two defeats. Losers move to a second-chance bracket, and the two bracket winners meet in the grand final. If the second-chance winner wins the first grand final, a deciding game is played.
5. Finish and pay the winners
- When the last match is approved the tournament finishes and the prizes are worked out. Any rounding left over goes to 1st place.
- Paid tournaments: every player is asked if there was any problem. If everyone says no, the wait is skipped. A problem opens a report that must be settled before prizes are released.
- When the hold time is over you get an alert. Open the Payouts tab and press Release. If you won a prize yourself, ask a player who won nothing to press it for you (the Payouts tab can do this).
- After you release, the site owner sends the money by M-Pesa and records the reference. Winners are told when it is sent.
Good habits
- Post an announcement before each round so nobody misses their match.
- Settle disputes quickly and look at the screenshots, not just the claims.
- Keep a second admin on every paid tournament.
- Ask players to pay on the site. If someone pays you cash, mark them as paid in the Players tab; that money reaches the site owner by hand, so hand it over.
